This n8n workflow captures freelancer applications through an n8n Form, uses OpenAI to extract structured hiring signals, computes a deterministic suitability score, logs results to Google Sheets, and sends Gmail responses to both applicants and your hiring team.

What this workflow does

• Collects applications via an n8n Form (contact details, role, experience, skills, portfolio/work samples, pitch, and optional rate).
• Extracts structured signals with OpenAI, identifying matched/missing required skills, numeric years of experience, portfolio score, red flags, strengths, and notes.
• Calculates a deterministic suitability score and tier based on extracted skills match, portfolio score, experience, and red-flag penalty.
• Generates a hiring recommendation with OpenAI (Shortlist, Trial Project, or Decline) including reasoning, next step, and confidence.
• Logs every submission by appending the full application record (scores, tier, and recommendation) to a Google Sheets tab named “Applications”.
• Automates email outcomes:
  • If the recommendation is Shortlist, it emails the applicant an interview invite via Gmail.
  • Otherwise, it emails your hiring team a review summary and sends the applicant a status update.

Technical details

• OpenAI: two OpenAI chat model nodes—one for structured extraction and one for the final recommendation.
• Google Sheets: appends to the “Applications” tab using Google Sheets OAuth2 credentials (requires your Sheet ID).
• Gmail: sends applicant messages and hiring-team review summaries based on the recommendation.
• n8n nodes used: if, set, code, gmail, sticky note, and form trigger.
