AI Tender Triage in n8n: OpenAI Scoring → Google Sheets + Bid Manager Email
Stop guessing which tenders are worth the paperwork. This AI Tender Triage workflow automatically scores every incoming tender using gpt-6-luna (0–100), flags risks, logs the decision to Google Sheets, and emails the bid manager the verdict and what to double-check. A Monday digest keeps due tenders visible and on track.
What this workflow does
- Receives new tenders via an n8n Webhook (“When Tender Received”, POST path tender-intake-0925) from a form, CRM, or script.
- Normalizes and validates inputs: trims fields like tender title, client, due date, estimated value, tender summary, source URL, and bid manager email; creates a tender_id (TD- + timestamp + 4-digit random suffix) and a received_at timestamp; checks required fields are present.
- Scores fit and flags risks: for validated tenders, calls gpt-6-luna to score fit from 0 to 100 and recommend bid, no_bid, or needs_review. It also outputs strengths, risks, key requirements, and a deadline risk.
- Records decisions: logs every assessment to the “Tenders” tab in Google Sheets.
- Notifies the right person: emails the bid manager the verdict plus the specific requirements they should check. For no-bid outcomes, it sends a short note explaining why the company passed.
- Monitors pipeline timing: a Monday digest lists tenders still being tracked that are due within 14 days.
Use cases
- Bid teams automating intake from web forms or CRM exports and reducing manual screening.
- SaaS operators tracking tender pipeline health with scheduled “due soon” summaries.
- Automation engineers needing an auditable workflow that records AI triage outcomes to Google Sheets.
