This n8n workflow automatically sweeps Open-Meteo forecasts for every site listed in your Google Sheets, and dispatches snow/ice crews the moment each site’s trigger criteria are met—then generates AI crew briefs and client notices and tracks every step through webhooks.

What this workflow does

  • Schedules or starts on demand: runs every 3 hours, or you can trigger a forecast sweep via a webhook.
  • Reads site data from Google Sheets: pulls the Sites tab and validates required fields (IDs, coordinates, triggers, and emails).
  • Handles bad data fast: invalid rows are sent to an admin via Gmail, posted to Telegram, and recorded in the Errors tab.
  • Checks Open-Meteo forecasts hourly: fetches a 2-day hourly forecast for each valid site and evaluates the next 12 hours using the site’s snow trigger and freezing-precipitation criteria.
  • Logs every sweep: writes sweep results to CheckLog (checked counts, dispatch counts, no-action sites, and rejected rows).
  • Dispatches when triggers are met: when one or more sites need dispatch, it uses GPT-4o to generate a storm summary plus a crew brief and client notice for each site.
  • Tracks dispatch outcomes: creates dispatch entries in DispatchLog and follows up using confirmation and follow-up webhooks.
