Automate Email to Task & Security Alerts with n8n Workflow
Transform your IT operations with this powerful n8n workflow that automatically converts actionable emails into Microsoft Planner tasks while monitoring your security posture. Never let critical emails slip through the cracks or security scores drop unnoticed again.
What this workflow does
This dual-pipeline automation runs on a single Microsoft Graph OAuth2 credential to streamline your IT workflow management:
- Email-to-Task Pipeline (every 30 minutes): Polls your Outlook inbox for unread emails, scanning subject lines and body content for configurable action keywords like "URGENT", "ACTION REQUIRED", "TASK:", "PLEASE REVIEW", and "CRITICAL". The workflow intelligently extracts due dates from ISO formats, structured prefixes, or relative phrases like "today", "tomorrow", or "end of week".
- Task Creation Process: Automatically creates Microsoft Planner tasks with appropriate priority levels and due dates. Each task includes sender details and a 500-character email preview in the description for full context.
- Security Monitoring Pipeline: Runs every Monday morning to check your Microsoft Secure Score, automatically creating priority-1 alert tasks when your security posture drops below 80%.
Use cases
- IT teams managing multiple support requests and maintenance tasks via email
- Security teams needing automated alerts for declining security posture scores
- Operations managers tracking action items from stakeholder communications
- System administrators converting vendor alerts into trackable tasks
