This n8n automation turns supplier applications into consistent, auditable qualification outcomes. It captures submissions via an n8n Form Trigger, validates and scores responses, checks for duplicate suppliers in Google Sheets, logs results for review, and sends applicants a decision via Gmail.

What this workflow does

• Receives applications submitted through an n8n form.
• Normalizes and validates fields: generates an application ID, confirms required data is present, and checks formatting.
• Detects duplicates: looks up the supplier in the Google Sheets sheet “Supplier_Master” by Registration / Tax Number. If found, the applicant is emailed that the supplier already exists.
• Checks mandatory requirements: ensures tax registration is available and required documents are not marked “Not Available”. Failures are logged to a Google Sheets evaluation log and emailed.
• Scores capabilities and experience: converts capability selections and years in business into numeric scores, calculates a weighted qualification score, and evaluates risk based on compliance status and missing supporting information.
• Determines the final outcome: returns one of Approved, Conditionally Approved, Manual Review, or Rejected; appends the supplier record to Google Sheets; logs evaluation for audit purposes; and emails decision details to the supplier.
