Turn every resolved Chatwoot ticket into CRM-ready summaries (automatically) with n8n
When an agent resolves a conversation in Chatwoot, the important context usually stays trapped in the helpdesk. This n8n workflow sends an LLM-generated 3–5 line conversation summary to your CRM as a note—so your sales and support teams always know what the customer needed, what was done, and what’s still open.
What this workflow does
- Listens for resolution: a webhook triggers on conversation_status_changed → resolved.
- Fetches conversation messages using the Chatwoot API, filtering out private notes and system activity.
- Creates a concise summary with an LLM in the conversation’s language, covering: who the customer is, what they needed, what was done, and any open follow-ups (3–5 lines).
- Writes the summary to your CRM via a generic HTTP request—configured to point to systems like HubSpot, Pipedrive, Notion, or Google Sheets.
- Marks processed items by tagging the conversation in Chatwoot with ai-summary, keeping processed threads visible.
Use cases
- Support handoffs: automatically document resolved requests so CS/Account teams can continue without losing context.
- Customer success reporting: keep CRM notes up to date for renewals, onboarding, and follow-up tasks.
- Multilingual operations: summaries are generated in the same language the customer used in Chatwoot.
Technical details
- n8n nodes/workflow components: webhook, if, code, HTTP request, and an LLM via n8n8n-nodes-langchain (LangChain + chat model), plus a sticky note.
-
Chatwoot integration: use Settings → Integrations → Webhooks, and authenticate with a header credential (
api_access_token) using a Chatwoot agent token. - CRM delivery: configurable generic HTTP call to your destination system.
