Automatically classify property support emails with Groq, route them in Slack, and log everything to Airtable

This n8n workflow watches your IMAP inbox, uses Groq to classify each property support email and draft a suggested reply, then routes the ticket to the right Slack channel and records the request in Airtable (with a Google Sheets backup if Airtable fails).

What this workflow does

  • Monitors new emails in your IMAP inbox and reads the subject and body.
  • Cleans and truncates the email body to 500 characters to keep processing consistent.
  • Sends the subject + cleaned body to Groq Chat Completions to return a JSON classification including: category, urgency, property reference, and a suggested reply.
  • Parses and normalizes the AI output, falling back to a manual-review payload if the Groq response is missing or unparseable.
  • Routes tickets by category to the appropriate Slack channel (Maintenance, Tenant Query, Viewing, Enquiry, or Manual Review). Spam is only logged.
  • For non-spam tickets, creates a Gmail draft reply to the original sender using the suggested reply text.
  • Saves the ticket to Airtable and emails a processing confirmation.
  • If Airtable writing fails, appends the ticket to a Google Sheets backup and sends an alert.
