This n8n workflow, Clientify AI Onboarding: Email + Google Calendar via Gmail, detects newly created Clientify contacts, drafts a tailored welcome message using OpenAI, schedules an available welcome meeting in Google Calendar, and sends everything to the contact via Gmail—while logging the onboarding so duplicates don’t happen.

What this workflow does

• Triggers on new Clientify contacts and continues only if the contact was newly created (within 60 seconds) and has a non-bounced email address.
• Prevents duplicates by checking the contact’s Clientify timeline for an existing “Welcome email sent” note. If found, the workflow stops.
• Generates the email and meeting times with OpenAI, using Google Calendar tools to find the sender’s next 7 days of events, select an open slot, and create a calendar meeting with the contact as an attendee.
• Sends the onboarding email via Gmail (the AI email is drafted in Markdown, converted to HTML, then delivered to the contact).
• Updates Clientify ownership and logs onboarding by assigning the contact owner to the Clientify user whose email matches the configured sender email, then writes an onboarding note with the email subject and meeting details.
