This n8n workflow helps a support agent send confident refund replies while the order data may be missing—and it also detects and routes incomplete lookups to human review so you don’t accidentally respond with bad or unverified order information.
What this workflow does

Receives a POST webhook with
orderIdand a customermessage. -
Performs an Order Lookup that returns a (simulated) order record and a
lookupCompleteflag. - Validates the lookup (disabled by default): incomplete lookups are routed to human review instead of producing a final refund reply.

Drafts a refund support agent reply using an OpenRouter chat model (the template uses
openai/gpt-4.1-mini, but any supported chat model works). - Returns the response to the customer when validation passes, or returns a human-review status when it fails.
Use cases
- Support tooling for refund requests where the backend order record can be missing fields or unavailable.
- Auditing/refining customer service automation to prevent “silent” failures—where an agent replies anyway without complete order context.
- Production checks for SaaS operators using webhook-based support workflows and LLM-assisted responses.
Technical details
- Webhook trigger: accepts POST requests to start the workflow.
- OpenRouter integration: “OpenRouter - Support” credential + chat model for the refund Support Agent drafting step.

ifand aValidate Lookupstep (toggle/enable as described in the workflow setup). - Audit & trace: set workflow Settings to Save manual executions for saved execution comparison during testing.
- Response handling: responds back via “respond to webhook”.
- Also includes supporting nodes such as n8nn8n-nodes-langchainagent and code (per the playbook template).
Requirements: n8n Cloud or self-hosted n8n, plus an OpenRouter API key. Customization: replace “Order Lookup” with your own order/database API, but keep the lookupComplete flag so validation still works.
