This n8n workflow keeps your support knowledge up to date in Pinecone and automatically drafts customer email responses using OpenAI (GPT-4.1). It sends high-confidence, cited answers via Gmail, and escalates sensitive or uncertain cases to Slack for human review.
What this workflow does
- Weekly knowledge sync: On a schedule, it lists files in a specified Google Drive knowledge-base folder.
- Smart re-indexing: It filters out documents unchanged since the last successful sync, downloads only updates, and loads text with metadata.
- Pinecone retrieval setup: Documents are split into overlapping chunks, embedded with OpenAI embeddings, and upserted into a Pinecone vector index (in a namespace).
- Ticket intake + normalization: A webhook receives incoming support tickets, normalizes the payload into a consistent ticket format, and passes it to an OpenAI agent.
- Drafted replies with confidence + citations: The agent searches Pinecone, drafts a reply, and returns structured confidence and sources.
- Escalation policy: Replies are sent only if they meet a minimum confidence score and include at least one cited source. It always escalates sensitive topics like refunds, cancellations, legal threats, GDPR/data deletion, breaches, and outages.
- Customer response + Slack escalation: Approved answers go out via Gmail; escalations are posted as a draft plus escalation reasons to a Slack support channel, and the workflow responds to the webhook with decision details.
