This n8n workflow automates your home service quoting pipeline: it collects requests from an n8n Form, estimates hours and a price range using OpenAI and your Google Sheets Price book, then assigns the best serviceman and notifies everything in Slack—while logging results back to Google Sheets.

What this workflow does

  • Receives a job request submitted via an n8n Form (name, contact details, postcode, service type, urgency, description, and optional photo).
  • Loads dispatch settings and reads the Price book tab from a Google Sheet.
  • Uses OpenAI to extract a quote basis: sends the request + price book context to OpenAI to determine a matching job category, an hours estimate, an urgency level, and a short customer-facing summary (without prices).
  • Fallback to human quoting: if OpenAI cannot produce an estimate, the full request is posted to a Slack dispatch channel for manual quoting.
  • Calculates an estimate range: otherwise, it reads the Servicemen tab, calculates the price range from the matching Price book row, and selects the best serviceman using skills, postcode coverage, and on-call status.
  • Dispatches via Slack: sends a direct Slack message to the assigned serviceman and posts a confirmation to the channel; if none match, it posts the job as unassigned with the reason.
  • Optional customer email + logging: can email the customer via Gmail and always appends the outcome and key fields to the Jobs log tab in Google Sheets.

  • Reducing back-and-forth by assigning the right serviceman immediately based on postcode coverage and on-call availability.
  • Ensuring every request is recorded in a Jobs log for reporting and follow-up.

Technical details

  • n8n Form for structured request intake (including optional photo).
  • Google Sheets reads Price book and Servicemen, and writes to Jobs log.

  • Slack for dispatch confirmations, direct assignment messages, and fallback posting when estimation fails.
