This n8n workflow performs a scheduled HubSpot Pipeline Hygiene Review Automation (n8n + Gmail), scanning your selected deal pipeline every Monday, flagging hygiene issues and expansion opportunities, and sending an approval form via Gmail. Only reviewer-approved updates are then applied back to HubSpot, followed by an email summary of results.
What this workflow does
- Runs weekly: Executes every Monday at 08:00, loading your configured HubSpot pipeline, portal details, and deal owners.
- Identifies existing customers: Finds deals in the selected pipeline and gathers Closed Won deal-to-company associations to determine which companies are already customers.
- Flags hygiene and growth items: Applies rules to highlight open deals with issues such as past/missing close dates, staleness, stuck stages, and missing amount/owner/contact. It also detects companies eligible for an expansion conversation.
- Drafts recommendations: For each flagged item, fetches the latest associated HubSpot note. Optionally, it uses TypeSafe Jev to recommend fixes with a confidence score; if Jev is disabled/unavailable, it falls back to deterministic rules.
- Gets human approval in Gmail: Sends a Gmail message with a review form (one checkbox per proposed fix), preselecting higher-confidence recommendations. It waits for a response within a configured review window.
- Applies only approved changes: Matches your selections to proposed fixes and applies approved updates back to HubSpot (e.g., updating deals, creating tasks, or creating expansion deals), then emails a results summary—or a “no changes” message if nothing is approved.
