JMA Weather Delay Triage: Automated Teams + Gmail Alerts for n8n

Stay ahead of Japan Meteorological Agency (JMA) weather warnings with an n8n workflow that checks the JMA XML feed every 30 minutes, detects changes per prefecture, and routes alerts for approval—then emails affected customers via Gmail. It also tracks shipment and warning state using n8n Data Tables.

What this workflow does

  • Runs every 30 minutes to load workflow settings plus saved warning state and open shipments from n8n Data Tables.
  • Downloads the public JMA XML warning feed, posting an error card to Microsoft Teams if the request fails.
  • Parses and filters alerts for your watched prefectures, keeping the newest entry per prefecture.
  • Fetches each entry’s detail XML to extract active warning types and the headline.
  • Compares current vs. previously saved warnings per prefecture to route only newly issued/changed warnings and all-clear events, then upserts the latest state back to the warning state table.
  • Matches warnings to pending shipments: for newly issued warnings, it checks the affected prefecture (and the warehouse prefecture) against open shipments due within the lookahead window.
  • Drafts messages with OpenAI (a Japanese internal alert and a polite customer email template with placeholders).
  • Posts to Microsoft Teams and—when shipments are impacted—creates a Teams card with a “Review and send” link to an n8n approval form.
  • Waits for staff approval or skip and then sends customer emails via Gmail, while maintaining tracking of shipment and warning state.

Use cases

  • Proactively notifying ops teams when JMA warnings change by prefecture.
  • Approving customer communications only when shipments are actually affected.
  • Reducing manual triage during severe weather events with consistent templates and state tracking.
