Route website form alerts after hours with automatic Gmail + Telegram notifications

This n8n workflow receives your website form submissions via a webhook, validates the payload, immediately acknowledges the visitor (HTTP 200/400), and then intelligently routes alerts based on business hours—sending on-call alerts through Gmail and Telegram after hours or for urgent/emergency requests.

What this workflow does

  • Receives form submissions via an n8n webhook using a POST request from your website form.
  • Cleans and validates inputs (name, email, phone, message, and an optional urgency field). Invalid payloads are rejected.
  • Acknowledges instantly:
    • HTTP 200 with a confirmation message for valid submissions.
    • HTTP 400 with validation errors for invalid submissions.
  • Checks business hours using your configured timezone and weekly opening hours.
  • Routes notifications**:
    • After hours or emergency/urgent: sends an on-call email via Gmail, then sends a Telegram alert.
    • During business hours: sends a daytime notification email via Gmail only.

Use cases

  • Your SaaS site captures leads via a contact form—after-hours requests should alert the on-call team fast.
  • Emergency support forms (marked urgent) should bypass business hours and trigger both email and Telegram alerts.
  • Operations teams want immediate visitor acknowledgement while the workflow handles routing in the background.

Technical details

  • Nodes / features: webhook, if, code, gmail, telegram, and a sticky note.
  • Time logic: business-hours checking against your timezone and opening schedule.
  • Gmail integration: Gmail OAuth2; configure the destination inbox (replace ONCALL_EMAIL@example.com).
  • Telegram integration: create a Telegram bot, add the n8n Telegram credential, and set REPLACE_WITH_YOUR_CHAT_ID.

Setup (quick)

  • Point your website form to the workflow’s Production webhook endpoint.
  • Update the timezone and weekly opening hours in the business-hours step.
