Send fax documents from n8n with optional human approval—automated end to end
This n8n Fax for Agents workflow prepares a text-based fax via the Fax for Agents API, requests approval when required, sends the fax, and polls for the final delivery state and evidence—so your automation can stay reliable and audit-friendly.
What this workflow does
Designed to run manually to start the fax send process, the workflow:
- Creates a fax document in Fax for Agents using the provided fax text and filename.
- Requests a fax quote for the destination phone number.
- Checks whether authorization is required for the quote.
- If authorization is required, creates a human approval request in Fax for Agents using your configured approval message.
- Polls every 30 seconds until the approval request returns an approved or non-approved status.
- Sends the fax through Fax for Agents using the quote ID (and approval ID when approval is required).
- Polls every 10 seconds for fax state until it’s delivered, failed, partial, or unknown.
The workflow outputs a result object with delivery evidence when delivered, a failure code when failed, or a “needs a person” status for partial/unknown outcomes.
Use cases
- Operators need to send fax confirmations from an internal n8n workflow with traceable delivery evidence.
- SaaS teams must handle human approval gates when Fax for Agents requires authorization before sending.
- Automation engineers want predictable status polling for delivered vs. failed vs. ambiguous fax outcomes.
Technical details
- Integration: Fax for Agents API (HTTP Bearer Auth credential for all HTTP Request steps)
- Nodes used: if, set, wait, switch, sticky note, HTTP Request
- Polling cadence: approval every 30 seconds; fax state every 10 seconds
To use it in live sending mode, ensure your Fax for Agents account is configured to support human approvals (or an applicable delegated policy) so approvals can be decided outside the automation.
