This n8n workflow monitors your Gmail for new lead/contact/inquiry messages, extracts key details, logs them into Google Sheets, and sends an internal notification email so your team can respond fast.
What this workflow does
- Polls Gmail every minute and searches for messages newer than one day using a lead-related subject query (e.g., lead/contact/inquiry terms).

Extracts lead data from each matching email, including:
- Received time
- Sender name
- Sender email
- Subject
- A cleaned message snippet
- Appends a new row to a Google Sheets spreadsheet (default sheet name: Leads) with the captured fields.

Sends an internal notification email via Gmail using the same extracted lead details (e.g., to
your-team@example.comor your team’s address).

Technical details
- Gmail integration (OAuth2): reads new messages and sends internal alert emails.
- Google Sheets integration (OAuth2): appends lead rows to the target spreadsheet and sheet tab (default: Leads).
- Uses n8n nodes including if, set, code, gmail, switch, and sticky note to control logic, formatting, and data extraction.
Setup tip: Create the Leads sheet with columns like Received At, Name, Email, From, Subject, Message, and Source (or align mappings to your headers), then update the Gmail search query and notification recipient.
