This n8n workflow watches your Google Sheets new-hire form responses, validates each submission, logs normalized onboarding details back into your sheet, and sends Gmail notifications to the right teams—so new starts don’t slip through the cracks.
What this workflow does
- Monitors for new responses: Runs every minute and triggers when a new row is added to your specified Google Sheets worksheet, “Form Responses 1”.
- Loads configuration & normalizes fields: Reads company and notification settings (including your Google Sheet URL, IT email, and Payroll email) and normalizes key onboarding data from the response (employee details, manager details, and start date).
- Validates required information: Checks that critical fields are present; if essential data is missing, processing stops to prevent incomplete logging.
- Logs back to Google Sheets: Appends or updates the submission with a “Logged” status and the normalized onboarding fields in your sheet.

Sends preparation emails via Gmail:
- Notifies IT with the new-hire details and a manual preparation checklist.
- Notifies Payroll with the core onboarding information.
- Notifies the hiring manager with the same core details and suggested next steps.
