This n8n workflow monitors your Google Sheets gym data daily, scores each member’s churn risk, then generates personalized WhatsApp win-back/renewal messages using OpenAI. It also creates the right ClickUp tasks for trainers and intelligently handles incoming WhatsApp replies by classifying intent and updating logs.

What this workflow does

• Runs every day at 7 AM to load gym settings plus member, check-in, and offer history from Google Sheets.
• Calculates a churn-risk score per active member based on visit drop-off, days since last check-in, and membership expiry.
• Selects eligible members who are not opted out and not in a cooldown window.
• Generates personalised WhatsApp messages (including trainer call notes) with OpenAI, sends the offer via WhatsApp, and creates a ClickUp follow-up task for the assigned trainer.
• Logs every outreach to the Google Sheets “Offer Log” (offer code, send status, cooldown timing).
• Builds and sends daily WhatsApp digests to the owner and each trainer from the scoring summary, and appends a snapshot to the Google Sheets “Retention Daily” tab.
• Triggers on incoming WhatsApp messages, looks up the member and latest offer in Google Sheets, uses OpenAI to classify intent (accept, freeze, callback, stop, or question/other), drafts a reply, and updates offer/member status accordingly.
