This n8n workflow watches for Help Scout conversations tagged “retro”, uses OpenAI to classify and summarize the first customer message, then either deduplicates against recent TeamRetro parking lots or creates a new TeamRetro parking item and leaves a private note back on the Help Scout ticket.

What this workflow does

• Triggers on tag changes in Help Scout when conversation tags are updated.
• Checks for the “retro” tag; if present, it fetches full conversation details from Help Scout.
• Extracts ticket context such as the ticket subject, number, mailbox ID, and a cleaned version of the first customer message.

• Deduplicates with TeamRetro: if the ticket is actionable (and not praise), it pulls the last 30 days of parked items from TeamRetro and compares titles against the new OpenAI summary using token-overlap to detect near-duplicates.
• Writes back to Help Scout:
  • If a duplicate is detected, it adds a private note: “already parked”.
  • If no duplicate is found, it creates a new TeamRetro parking lot item and adds a private confirmation note.
