This n8n Invoice Reminder & Escalation Workflow reads invoice data from Google Sheets, checks prior reminder history, and sends timely follow-up emails through Gmail—with safe test mode enabled by default. It also records every decision back into your Google Sheets for a complete audit trail.

What this workflow does

• Schedules and configuration: Runs manually or on weekdays at 09:00, loading a configuration that enforces safe test mode unless live sending is explicitly approved.
• Merges invoice + reminder history: Reads the Invoices and Reminder Log sheets and combines them so each invoice is evaluated against past reminder activity.
• Validates and calculates next action: Checks invoice fields (invoice IDs, due dates, amounts, currencies, statuses, and email fields) and computes the follow-up stage (e.g., due soon, overdue, or escalate) using snooze and minimum-interval rules.
• Idempotency protection: Uses an InvoiceID + stage + date key in the Reminder Log to skip reminders that were already reserved or processed.
• Routes actions: Sends customer reminders, triggers a finance escalation path, or records exceptions/holds when data issues are detected (without sending email).
• Reserves, then sends, then audits: Appends a “RESERVED” entry to the Reminder Log, sends the Gmail message (to a test inbox unless live sending is enabled), and writes the final outcome (sent, escalated, skipped, hold, or data error) with the reason and idempotency key.
