Instantly triage invoice payment risk—then escalate the ones that matter
This n8n workflow reviews pending invoices from Google Sheets, scores each one’s delay risk, uses Groq to generate a concise recommendation, logs results back to Sheets, and escalates medium/high-risk invoices to Slack and Notion (with Gmail reminders when appropriate).
What this workflow does
- Pulls data from Google Sheets: Reads pending invoices and matching vendor payment history from your selected spreadsheet tabs.
- Validates required fields: Checks each invoice for required information (e.g., a due date and a positive amount). Any invalid records are sent to Slack for cleanup.
- Calculates a delay risk score (0–100): Merges valid invoices with vendor history, computes days until due, and derives a 0–100 risk score based on vendor payment timing and reliability.
- Uses Groq for an AI risk summary: Sends invoice details to Groq to produce a one-sentence risk summary and a one-sentence recommended action.
- Logs to Google Sheets: Appends invoice ID, vendor, risk score, Groq recommendation, and the log date into a risk log tab.
-
Escalates by risk level:
- High risk (> 70): Posts an escalation to Slack and creates a high-priority follow-up task in Notion.
- Medium risk (≥ 40, not high): Sends a gentle reminder via Gmail.
- Low risk: Only logs the result.
Use cases
- AP teams want automatic triage for invoices likely to slip beyond due dates.
- SaaS operators track vendor payment reliability and standardize follow-ups using AI-assisted recommendations.
- Finance ops need a single workflow to validate records, score risk, and route actions to Slack/Notion.
