Stop Layaway from “Vanishing”—Automatically Track Plans, Email Schedules, and Chase Due Payments

This n8n layaway tracker workflow logs every new layaway plan to Google Sheets, emails the customer their payment schedule, sends daily reminders for due and overdue payments, and delivers a monthly owner review of what’s still owed.

What this workflow does

• Captures new layaway plans via webhook: “When Layaway Plan Created” receives each new plan through a POST webhook at path layaway-intake-0927 (ideal for your POS or a form submission).
• Normalizes and structures the record: “Normalize Plan” generates a consistent plan_id (e.g., LAY-YYYYMMDD-1234) and stores key fields such as customer details, item, total price, deposit_paid, installment_amount, installments_total, interval_days, payments_made, status, office_email, created_at, balance_due, and next_due_date.
• Validates required data: “Validate Plan” checks customer_name, item, and next_due_date. If missing, “Email Reject Notice” informs the store office.
• Saves to Google Sheets + emails schedule: Valid plans are appended to the “Plans” tab and the customer receives their schedule email.
• Daily payment chasing at 08:00: Every morning at 08:00 it reads open plans, finds payments due within three days and overdue payments, reminds customers, and logs alerts to the “Alerts” tab. Overdue plans roll into one escalation email to the store.
• Monthly owner review: On the 1st at 09:00, gpt-6-luna drafts a monthly review of what is still owed.
