This n8n onboarding workflow automatically matches new hires to available onboarding buddies using Google Sheets, records every pairing (or waitlist), and sends the right Gmail + Slack notifications—saving your team hours of manual coordination.

What this workflow does

• Receives a new buddy request from an n8n form submission with the joiner’s name, work email, and team/cohort.
• Reads your buddy program roster by pulling data from the Mentors and Pairings tabs in Google Sheets.
• Calculates mentor availability by counting active mentees for each mentor, filtering out mentors who are on leave or at capacity, and prioritizing mentors in the joiner’s cohort.
• Assigns or waitlists: appends a new row to the Google Sheets Pairings tab marking the request as active with the selected mentor, or as waitlisted when no mentor is available.
• Updates mentor status by setting the mentor’s last_assigned value in the Google Sheets Mentors tab when a match is made.
• Notifies people automatically:
  • If matched: sends a dual-intro email via Gmail to both mentor and joiner (CC’ing the coordinator) and sends the mentor a direct Slack message.
  • If waitlisted: posts an alert in the coordinator’s Slack channel and shows the joiner a waitlist completion page.
