n8n Shopify Etsy Square Webhook to Google Sheets + Gmail

Turn Shopify, Etsy, or Square orders into confirmed records automatically—log them to Google Sheets and send a Gmail confirmation email

This n8n workflow receives order webhooks from Shopify, Etsy, or Square, normalizes them into a single order format, prevents duplicate entries, appends new orders to a Google Sheets Orders tab, and optionally sends a customer confirmation email via Gmail. Afterward, it updates the sheet to mark the order as Confirmed—and responds to the webhook with a JSON acknowledgement so the storefront can stop retrying.

What this workflow does

• Receives webhook payloads and loads shared settings (Google Sheet identifiers, product rules, and email mode) from the workflow configuration.
• Detects the source: determines whether the payload is from Shopify, Etsy, or Square, extracts a common set of fields, and rejects orders missing required data.
• Handles Square deposit logic: holds Square orders until the deposit is paid (when applicable).
• Deduplicates into Google Sheets: reads existing rows (or uses a built-in demo board when the sheet is not enabled) and checks the order key before logging.
• Validates line items against configured product rules, computes a working-day shipping window from the longest lead time plus buffers, and can hold orders containing unknown SKUs when enabled.
• Saves and confirms: appends a single-row “board” record to the sheet, sends a customer email via Gmail (live or redirected to a test address), then updates the order stage to Confirmed with a confirmation timestamp.
