This n8n workflow automatically captures volunteer shift signups from an n8n Form, checks availability in Google Sheets, and sends the right confirmation or waitlist email via Gmail—while keeping coordinators informed in Telegram. It also runs scheduled reminders and weekly digests.

What this workflow does

• Collects signup data via an n8n Form and normalizes fields such as name, email, shift ID, experience, and notes.
• Validates required fields. If anything is missing, it alerts the coordinator in Telegram and sends a review email through Gmail.
• Checks shift status in Google Sheets to determine whether the requested shift exists and has remaining capacity.
• Handles unknown shift IDs by notifying the coordinator in Telegram and sending coordinator details via Gmail (including the skipped signup data).
• Confirmation path (capacity available): uses OpenAI (DeepSeek) to generate a confirmation email, logs the signup in Google Sheets, emails the volunteer via Gmail, and sends a Telegram alert.
• Waitlist path (shift full): uses OpenAI (DeepSeek) to generate a waitlist email, logs the waitlisted signup in Google Sheets, emails the volunteer via Gmail, and sends a Telegram alert.
• SCHEDULED ops: reads confirmed signups from Google Sheets to email reminders for shifts happening today/tomorrow, posts a Telegram recap, and compiles weekly statistics + an AI-written digest sent via Gmail and Telegram.
