Weekly customer data sync check across HubSpot, freee, Backlog—and one Slack report

This n8n workflow runs every week to compare customer and billing data between HubSpot, freee, and Backlog, then posts a single formatted mismatch report to Slack (or confirms that everything matches).

What this workflow does

• Schedules weekly (every Monday at 9:00) or can be run manually.
• Loads comparison settings, including lifecycle stage filters, link/tag prefixes, and relevant IDs.
• Fetches HubSpot companies for the configured lifecycle stages.
• Fetches freee partners, then batch-reads the corresponding HubSpot companies using the stored HubSpot link values.
• Checks billing/invoices in freee within a configured lookback window, and—if enabled—reads a target Backlog project and recent issues.
• Compares records to find mismatches such as missing links, deleted HubSpot records, differing names/phones, duplicate partner links, and invoices without matching Backlog tags.
• Posts one Slack message to your configured channel with links to affected HubSpot records, or a “no mismatches found” result.

• Confirm that every freee partner is correctly linked to the right HubSpot company.

Technical details

• HubSpot: HubSpot app token/service key to read account info and companies.
• freee: OAuth2 credentials with read access to partners and invoices (freee company ID required).
• Backlog (optional): Backlog HTTP Query Auth (API key), space URL, and project key; invoice task checking can be disabled.
• Slack: posts results to a configured Slack channel ID.
• n8n nodes used: set, code, slack, sticky note, http request, manual trigger.
