Chase WooCommerce unpaid orders automatically—invoice with Invoice Ninja and nudge customers via Telegram

This n8n workflow automatically invoices your WooCommerce “on-hold” orders using Invoice Ninja, tracks each order to prevent duplicates, and runs daily reminders for overdue invoices. It can also send optional Telegram alerts and delivers a daily email report via SMTP.

What this workflow does

• Scheduled execution: Runs hourly and also performs a daily 08:00 process using scheduled triggers.
• Connection validation: Checks your chase settings, verifies connectivity with the Invoice Ninja API and the WooCommerce REST API, then chooses the correct hourly vs. daily logic path.
• Hourly invoicing path:
  • Fetches WooCommerce orders with status on-hold.
  • Filters to selected payment methods.
  • Skips orders already recorded in an n8n Data Table to avoid duplicate invoicing.
  • Creates or matches the customer in Invoice Ninja and generates an invoice using WooCommerce line items (including shipping, fees, and taxes).
  • Verifies the Invoice Ninja total matches the WooCommerce order total, then emails the invoice via Invoice Ninja.
  • Adds a WooCommerce order note with the Invoice Ninja invoice number and updates the tracking row—or records a failure reason if invoicing fails.
• Daily chasing path:
  • Loads all tracked invoiced orders from the n8n Data Table.
  • Checks each Invoice Ninja invoice and corresponding WooCommerce order status.
  • Releases fully paid orders to processing or stops chasing if the invoice/order was changed externally.
  • Sends reminders for overdue invoices, with optional Telegram alerts.
