This n8n workflow compares a Google Sheets client checklist against a staff-only Google Drive folder to identify missing files, pending human approvals, and readiness blockers—then drafts internal Gmail reminders and produces an internal readiness digest. It includes a credential-free demo and requires no AI API.

What this workflow does

• Run with fictional demo data: Execute the workflow using default demo settings to generate a report without connecting any accounts.
• Live mode checklist validation: After configuration, the workflow reads the Requirements and History tabs and checks the intake folder for direct files.
• Match assets by naming pattern: Each asset is matched using the filename pattern project_id__requirement_id__description.ext.
• Stop on invalid or incomplete listings: Invalid checklist rows block client drafts; incomplete listings stop the run until staff attention resolves the issue.
• Capture human approval status: A human records approval against the file ID and version. If a file changes, it must be reviewed again.
• Create eligible Gmail reminders: When actions are enabled, the workflow groups reminders by client email, creates eligible drafts, and sends an internal digest.
• Reduce duplicates: Existing generated drafts, a draft-creation cooldown, and daily digest receipts help prevent repeated reminders.
• Record outcomes: After each Gmail acknowledgement, the workflow appends a History receipt. Client emails remain as unsent drafts for staff to review and send.
