Automatically escalate customer SLA complaints from n8n to Gmail and Google Sheets
The n8n Workflow: Gmail & Google Sheets SLA Complaint Escalation captures customer complaints from an n8n Form, logs every case in Google Sheets with a priority-based SLA deadline, and sends Gmail notifications—including automated Level 1 and Level 2 escalations for unresolved cases.
What this workflow does
- Receives a new complaint submission from an n8n Form.
- Normalizes and validates required fields; if mandatory complaint data is missing, the workflow stops with an error payload.
- Creates a case record by generating a case ID, assigning priority and a responsible team based on complaint category, and calculating the SLA due time.
- Appends the complaint to Google Sheets as a new row in your complaint register.
- Sends acknowledgment and assignment emails via Gmail to the customer and internal recipients.
- Waits until the SLA due time, then checks the case in Google Sheets to see whether the status is marked Resolved.
- If unresolved at the deadline, sends a Level 1 escalation email via Gmail and updates the Google Sheets row with escalation status and timestamps.
-
Waits an additional review window based on priority, then re-checks the sheet:
- If still unresolved, escalates to Level 2 via Gmail and updates the sheet.
- If resolved, sends a resolution email and marks the case Closed in Google Sheets.
Use cases
- SaaS support teams needing consistent SLA tracking for inbound complaints.
- Operations workflows that require auditable escalation timestamps in a Google Sheets register.
- Automation engineers implementing a reliable Gmail + Google Sheets SLA escalation pattern in n8n.
