Turn accepted Google Sheets quotes into scheduled Google Calendar jobs—automatically (with Gmail reminders)
This n8n workflow detects accepted jobs in your Google Sheets, emails customers a personalized booking form link via Gmail, checks Google Calendar availability, schedules the event, and sends confirmation plus next-day reminders. No manual back-and-forth—just smooth booking from quote to calendar.
What this workflow does
- Every 15 minutes, it scans Google Sheets for rows where status = accepted.
- For each accepted row, it builds a personalized booking form link, emails the customer the link using Gmail, and updates the row status to booking_sent.
- When the customer opens the booking form, the workflow verifies the request by checking that the link and email address match a row currently in booking_sent.
- It reads busy events from Google Calendar for your configured booking window, then calculates available time slots using your working days, business hours, job length, and minimum notice.
- If no slots are available, it emails the owner via Gmail and shows a “No free times” completion page to the customer.
- If slots are available, it shows a second form for time selection, then re-checks Google Calendar and re-reads the Google Sheets row to ensure the slot is still free and not already scheduled.
- When a slot is confirmed free, it creates the job event in Google Calendar, updates the sheet to scheduled (including event ID and start time), sends a confirmation email via Gmail, and shows a booking confirmation page.
- Every morning at 8:00, it processes scheduled jobs from Google Sheets (for confirmations/reminders).
Use cases
- Service businesses that receive quotes in Google Sheets and want customers to instantly pick an available time.
- SaaS operators automating booking flows with Google Calendar availability and status tracking in Google Sheets.
- n8n users who need reliable scheduling logic that prevents double-booking by re-checking both Calendar and Sheets before creating events.
Technical details
- Built with n8n nodes including: if, set, code, form, gmail, switch.
- Integrations: Google Sheets (status transitions: accepted → booking_sent → scheduled), Google Calendar (busy events + event creation), Gmail (booking link email, confirmations, and owner notifications).
