n8n Workflow: Match Participants & Schedule 1:1 Google Meet

Automatically match participants into 1:1 pairs and schedule Google Meet calls—hands-free

This n8n workflow collects participant sign-ups, uses OpenAI to generate relevant 1:1 matches, then creates Google Calendar events with Google Meet links and sends Gmail invitations automatically—based on a proven real-world matching process adaptable for events and communities.

What this workflow does

• Receives sign-ups from an n8n Form and loads matching + meeting settings from default values, optionally overridden via a `Google Sheets` row.
• Enforces a matching deadline: it checks whether the current time is before the configured deadline. If yes, it saves the participant as registered; if not, it shows a sign-ups closed message.
• Runs every 15 minutes. Once the deadline is reached, it loads all registered participants from an n8n data table.
• Deduplicates by email and sends the participant list + matching criteria to OpenAI to generate pairs (and a single group of three only when the total count is odd), including a short match reason.
• Schedules meetings: creates a Google Calendar event per group at the configured start time and duration, generates a Google Meet link, and adds all group members as attendees.
• Sends invitations via Gmail to each group with the match reason, event time, and Meet link, then updates each participant’s record to matched with partner emails and the meeting link.
