Benchmark your Procurement KPIs against external peers—automatically, monthly, and with Gemini insights

This n8n workflow runs on a monthly schedule to compare procurement KPI results in Google Sheets with external peer benchmarks, calculate KPI gaps and severity, generate management-ready analysis using Google Gemini, write results back to Sheets, and email leadership alerts plus a consolidated monthly report via Gmail.

What this workflow does

• Runs monthly using a schedule trigger.
• Loads benchmarking settings and fetches all procurement KPI rows marked Ready from your Google Sheets (starting from the Procurement_KPIs tab).
• For each KPI, checks the active KPI definition and active external benchmark from Google Sheets.
• If required benchmark inputs are missing or not active, routes the KPI to Review Required.
• Builds a comparison context, validates numeric inputs, and calculates:
  • Benchmark gap percentage
  • Performance status
  • Severity
• Sends the KPI context and calculated results to Google Gemini to generate structured output such as gap summary, likely causes, recommended actions, and a management comment.
• Appends results to a results sheet and marks the source KPI row as Processed.
• Emails leadership alerts when a KPI is below benchmark and sends an HTML monthly benchmark report covering all processed KPIs via Gmail.
