Route Commodity Sample Approvals with Telegram + Claude (n8n Workflow)
This n8n workflow automates the full commodity sample approval loop—from dispatch QR intake to evaluation and final pass/borderline/fail/needs_review decisions—using n8n Forms, Telegram notifications, and Anthropic (Claude) for data extraction.
What this workflow does
- Dispatch intake & QR labeling: When a sample dispatch is submitted via an n8n Form, the workflow generates a unique sample ID and a QR code that links to the arrival form. It also looks up the contract specification.
- Spec validation & registration: The sample is registered in n8n Data Tables, Google Sheets, or Microsoft Excel. A dispatch event is appended to a decision log, and dispatch is refused if no specification exists for the contract.
- Optional notifications: It can email the QR label using Microsoft Outlook and post a dispatch notification to a Telegram chat.
- Arrival receipt & SLA tracking: When a sample arrival is submitted via the arrival n8n Form, the workflow validates sample status, writes receipt details plus an SLA due timestamp, and logs the arrival.
- Evaluator prompts via Telegram: The workflow notifies Telegram and asks the evaluator to respond with a voice note, a photo of the grading sheet, or typed readings.
- Claude-powered decisioning: When a Telegram reply arrives, it extracts the sample ID from the replied-to arrival message, then uses Anthropic (Claude) to extract structured values from text or images (with optional voice transcription via an HTTP endpoint). Deterministic rules produce the final verdict: pass, borderline, fail, or needs_review.
Use cases
- Commodity suppliers and quality teams needing consistent sample dispatch and approval tracking.
- Faster intake workflows for lab results: Telegram-based evaluator collection with Claude structured extraction.
- Audit-ready records using decision logs and SLA due reminders.
