Instantly turns Gmail scheduling emails into confirmed time options—safely
This n8n workflow monitors your Gmail for meeting requests, uses Google Gemini with Google Calendar to verify availability, drafts a reply with three proposed time slots, places a transparent “HOLD” on your calendar, logs everything to Google Sheets, and alerts your team in Slack.
What this workflow does
- Polls Gmail every minute for unread emails with subject lines indicating a scheduling request.
- Enriches the email context with your working hours, timezone, default meeting duration, and your booking rules.
- Uses Google Gemini and Google Calendar tools to determine whether the email is truly a scheduling request, then lists existing events and checks availability to generate three verified meeting times.
- If it is a scheduling request, the workflow creates a draft reply in the original Gmail thread including the proposed options.
- Places a transparent “HOLD” event on Google Calendar for the first proposed slot and stores the proposed options and notes in the event description.
- Logs the request to Google Sheets and posts a summary to your Slack channel.
- If it is not a scheduling request, it marks the email as read.
Use cases
- Reducing back-and-forth for interview, demo, or customer meetings coming via email.
- Ensuring time options respect working hours and timezone rules without manual calendar checking.
- Keeping operations teams informed via Slack and maintaining an auditable request trail in Google Sheets.
