Send weekly SharePoint time-tracking reminders automatically—every Monday & Wednesday

This n8n workflow downloads an employee CSV from Microsoft SharePoint, sends each employee a Microsoft Outlook time-tracking reminder email (with their manager CC’d), then clears the recipient fields and uploads the updated CSV back to SharePoint.

What this workflow does

  • Runs on a schedule: triggers every Monday and Wednesday at 13:00.
  • Downloads and parses the CSV: pulls the target CSV from Microsoft SharePoint and converts it into structured rows for processing.
  • Builds a recipient list: extracts employee first name, employee email, and manager email from the CSV. Rows missing a name or email are filtered out.
  • Sends reminder emails: iterates through the recipient list and sends a reminder email to each employee using Microsoft Outlook, with the manager included in CC.
  • Prevents repeated recipient data: clears recipient-related columns in the original CSV data, converts it back to CSV, and uploads the updated file to Microsoft SharePoint.

Use cases

  • Automate weekly timesheet reminder emails for distributed teams.
  • Ensure managers are consistently CC’d for visibility and follow-up.
  • Use SharePoint as the single source of truth by updating the CSV after reminders are sent.
  • Reduce manual admin work for SaaS operators managing recurring workforce communications.

Technical details

  • Integrations: Microsoft SharePoint (download/upload) and Microsoft Outlook (email sending) via OAuth2.
  • Workflow logic: set, code, sticky note, convert to file, split in batches, extract from file.
  • CSV mapping: expects columns such as MA, CROSS_MA.email, and CROSS_MA.VG_email (or you can update mappings to match your headers).

Setup tips: confirm your SharePoint site and file for both download and upload, connect Outlook credentials, and test email content with a safe address before enabling the workflow.
