Sync Tally Prime Accounts Receivable to GoHighLevel & Google Sheets (with approval-safe ledger changes)

This n8n workflow automatically exports Accounts Receivable from Tally Prime, matches and updates GoHighLevel contacts and tags, and records balances and aging in Google Sheets—while routing accountant-approved ledger/receipt changes back to Tally.

What this workflow does

• Runs every two hours during business hours (Mon–Sat, 9:00–19:00).
• Reads approvals from Google Sheets: it checks the Customers, Bills, and Tally Change Queue tabs, and imports any queue rows marked “Approved” into Tally Prime as import XML.
• Exports receivables from Tally Prime: using Tally’s XML/HTTP interface, it pulls debtor ledgers and the Bills Receivable report and parses them into customer balances and open bills.
• Fetches GoHighLevel data: it retrieves GoHighLevel contacts and recent payment transactions via the GoHighLevel API, using pagination.
• Matches, calculates aging, and determines actions: it aligns Tally ledgers to GoHighLevel contacts, computes overdue/aging and credit status, and performs conflict detection for email/phone changes.
• Updates GoHighLevel safely: writes AR custom fields, syncs email/phone only when safe, and adds/removes AR tags based on the latest Tally receivables.
• Writes back to Google Sheets: updates mirror tables (Customers, Bills, Conflicts) and appends new/changed items to the Tally Change Queue for approval.
• Alerts via Slack: sends a Slack message to an accounts channel when attention is needed.
