n8n Workflow: Update Financial Plans in Google Sheets with Gmail & OpenAI

Automatically refresh the right parts of your financial plan—using Google Sheets, Gmail, and OpenAI

This n8n workflow sends quarterly life-event check-in emails via Gmail, then detects submitted responses in Google Sheets. When changes affect only specific sections of a financial plan, it uses OpenAI to update only those affected sections, logs every change, and emails you a consolidated update—or a validation notice if the output isn’t eligible.

What this workflow does

• Runs every three months: prepares a check-in ID, plan ID, recipient email, and a Google Form link.
• Sends quarterly check-in emails through Gmail, asking recipients to submit life/financial changes via the Google Form.
• Triggers on new submissions: when a new row is added to the Life_Event_CheckIn Google Sheet, it validates that the submission includes Plan ID, Email Address, and Life Event.
• Maps life events to plan sections: identifies which sections of the financial plan are affected. If no sections are affected (e.g., “No Major Change”), it sends a confirmation email via Gmail without updating the plan.
• Uses OpenAI for targeted updates: loads only the matching plan sections from the Financial Plan Google Sheet, sends relevant context to OpenAI, and requests JSON updates for those sections.
• Validates and writes results: if the AI output passes schema/eligibility checks, it updates the Financial Plan sheet and appends a record to Plan Change History, then sends a consolidated plan update email via Gmail. If invalid, it emails an AI validation notice without changing sheet data.
