Automatically Validate & File Water Well Permit Records—Using OpenAI, Webhooks, and Gmail
This n8n workflow automates regulatory well compliance by taking a posted well completion report, using an OpenAI agent to confirm minimum Water Board requirements, enforcing the 48-hour cure delay, and then filing the final record—while sending updates via Gmail.
What this workflow does
- Receives well completion data via an n8n webhook (POST).
- Normalizes inputs into typed fields such as license expiry, grout depth, and setback distances.
- Calls State Water Board API through an OpenAI chat model–powered agent to retrieve the minimum grout depth and setback requirements based on the county and aquifer type.
- Validates compliance by comparing reported measurements to the returned minimums and checking whether the driller license is expired.
- Handles cure delay: if the record passes initial checks, the workflow waits 48 hours, then fetches a post-cure grout depth reading from a county field inspection API.
- Applies tolerance rules (1 ft tolerance) and tags the record as ready to file or on hold for cure failure.
- Files with the State Water Board portal and then archives a copy to Google Drive.
- Sends status updates via Gmail once processing is complete.
Use cases
- Automation for well compliance teams that need consistent, audit-friendly permit filing decisions.
- Ops/SaaS workflows that ingest completion reports and reduce manual review of grout depth and setbacks.
- Engineering teams managing delayed validation after a 48-hour cure window.
