Re-engage inactive clients automatically every Monday with Gmail + Google Sheets, and get weekly visibility in Slack
This n8n workflow scans your Google Sheets client list for contacts inactive for 14+ days, sends a re-engagement email via Gmail, logs the outreach in a second Google Sheets tab, and posts a top-10 weekly summary (with failure alerts) to Slack.
What this workflow does
- Runs on a schedule: A scheduled trigger starts the workflow every Monday at 9:00 AM.
- Reads client data from Google Sheets: It pulls all rows from Sheet1 in the “Client Engagement Automation” spreadsheet.
- Identifies inactive clients: Using the Last Activity Date, it flags records older than 14 days and keeps only those needing attention.
- Splits contacts for individual outreach: The inactive list is split into one item per contact so each client receives a dedicated email.
- Sends re-engagement emails: For each flagged contact, it sends an email through Gmail (with customizable subject/body and sender details).
- Logs outreach in Google Sheets: Each contacted client is appended to Sheet2.
- Posts results to Slack: It compiles a Slack message with the total count and lists up to 10 clients, then posts to your chosen channel.
- Alerts on failures: If the workflow execution fails, it sends a separate Slack alert to the error channel.
Use cases
- SaaS teams re-contacting customers or leads who haven’t engaged in the last two weeks.
- Sales/CS ops using n8n to keep outreach consistent without manual spreadsheet updates.
- Automation engineers needing a reliable weekly re-engagement pipeline with audit logging and Slack reporting.
Technical details
- Nodes / tools: scheduled trigger, if, code, gmail, slack, split out, and sticky note.
- Google Sheets requirements: “Client Engagement Automation” with Sheet1 columns including “First Name”, “Last Name”, “Email”, “Phone”, “Company”, and “Last Activity Date”.
- Slack reporting: weekly summary to a selected channel; execution-failure alerts to a designated error channel.
