Automatically generate weekly vendor update emails from your Google Sheet—ready as Gmail drafts

This n8n workflow creates friendly weekly vendor update emails every Friday. It reads your Google Sheets “Vendors” data, uses OpenAI to draft each message from your figures and notes, and saves everything as Gmail drafts—so nothing goes out unchecked.

What this workflow does

• Scheduled or on-demand: Runs every Friday at 9am (or you can run it manually using Execute workflow).
• Reads vendor listings: Pulls the current week’s viewings, enquiries, total viewings, feedback notes, and agent notes from a Google Sheet tab named Vendors.
• Filters the right rows: Keeps only rows marked active and that include a vendor email address.
• Drafts the emails with OpenAI: Sends each listing to OpenAI with a short prompt to use only the provided figures/notes, keep the tone friendly and brief, and leave pricing and offers for the agent to discuss.
• Creates drafts for approval: Adds your signature and saves each update as a Gmail draft for you to review and send—no automatic sending.

Technical details

• Integrations/Credentials: Google Sheets, OpenAI, Gmail (you add your own credentials in n8n; none included in the template).
• Workflow nodes: set, code, gmail, filter, sticky note, google sheets.
• Setup: Paste your sheet URL into the “Read vendor listings” node; complete the Settings node (agency name, your name, signature).
• Customization: Edit the SYSTEM_PROMPT in “AI instructions” to change tone/length; choose a different model in “OpenAI chat model”; adjust the schedule (e.g., “Every Friday at 9am”).
