Auto-classify SaaS churn from Notion and email monthly reports—fully automated in n8n
This n8n workflow watches for cancellation events in Notion, cross-checks each customer against Google Sheets dunning history to determine whether churn is involuntary or voluntary, logs the result, and then sends a monthly Gmail email featuring a Gemini-generated executive summary.
What this workflow does
- Near-real-time churn classification: Triggers every minute when a new cancellation event is detected in a specified Notion database.
- Normalize cancellation data: Extracts customer ID, cancellation date, and plan revenue from the cancellation payload.
- Look up dunning history: Uses Google Sheets to find matching dunning records for the customer.
- Detect involuntary churn logic: Determines involuntary churn when a valid dunning start date occurred before the cancellation and falls within a 60-day window.
- Write to a churn log: Appends each classification (plan, dates, revenue, notes) to a Google Sheets churn log.
- Monthly rollup + reporting: On schedule, fetches all rows from the churn log, aggregates prior month metrics (involuntary/voluntary counts and lost revenue), and asks Google Gemini for a short JSON-formatted executive summary.
- Email the report: Sends a formatted HTML report via Gmail.
Use cases
- SaaS operators who want churn reporting that distinguishes involuntary churn from voluntary churn.
- Automation engineers building an end-to-end n8n workflow for churn analytics using Notion + Google Sheets.
- Teams that need monthly stakeholder emails with consistent churn metrics and a concise Gemini-written summary.
Technical details
- Trigger: Notion (detects new cancellation records; runs every minute).
-
Core logic:
if,set, andcodenodes to compute the 60-day involuntary churn window. - Data storage & lookup: Google Sheets (dunning history lookup + churn log append + monthly aggregation).
- AI summary: Google Gemini (generates a short JSON-formatted executive summary).
- Email delivery: Gmail (sends HTML report).
- Notes: Sticky Note node for in-workflow documentation.
Setup
- Connect Notion credentials and choose the cancellation database for the trigger.
- Connect Google Sheets credentials and update the sheet/document IDs for both the dunning history lookup and the churn classification log.
