This Notion RFx Generator Workflow automatically watches your Notion “Sourcing Pipeline,” drafts RFI/RFP/RFQ content using Groq LLM based on similar past projects, writes the results back to Notion as block JSON, and pauses for a manager approval decision before updating the request status.

What this workflow does

  • Monitors your Notion database every minute when a page changes in the “Sourcing Pipeline” database.
  • Checks request readiness: it proceeds only if the page Status equals “Generate RFx”.
  • Finds the best reference projects by querying the “Past Projects” database for the top three similar projects (same Category and Sourcing Type), sorted by Success Score.
  • Selects the correct prompt type based on the RFx system you need (RFI, RFP, or RFQ), then sends requirements to Groq.
  • Generates structured outputs: it uses the AI to produce draft scope content plus evaluation/pricing tables and a project timeline with submission guidelines.
  • Writes back to Notion by converting the generated Markdown into Notion block JSON, appending it to the original page, and setting the page status to “Pending Approval”.
  • Waits for manager decision via a resume webhook, then updates the Notion page to “Sent to Suppliers” if approved or “Needs Revisions” if rejected.
