Automatically generate a Xero draft invoice when a Pipedrive deal hits Closed Won, then send it to Slack for approval—authorising and emailing the invoice to the customer only after it’s approved. Perfect for removing manual invoicing delays.

What this workflow does

• Triggers on deal stage change: Watches for a change in Pipedrive and continues only when the deal newly enters the configured Closed Won stage.
• Builds invoicing contact details: Fetches the deal’s person data and prepares the contact name and email for invoicing.
• Finds or creates a Xero contact: Searches Xero for an existing contact by email (or by name if email is missing). If none is found, it creates a new Xero contact.
• Creates an ACCREC draft invoice: Pulls deal products from Pipedrive, converts them into Xero invoice line items (or falls back to the deal title/value), and creates an ACCREC draft invoice with a calculated due date and configured currency.
• Requests approval in Slack: Posts the draft invoice details to a Slack channel and waits for an Approve & Send or Reject decision.
• Authorises and emails on approval: If approved, updates the invoice in Xero to AUTHORISED and emails it via Xero when an email address is available, then confirms in Slack.
• Stops on rejection: If rejected, leaves the invoice as a draft in Xero and posts a rejection notice to Slack.
