Plan Luma events by city in Google Sheets—without copying attendee profiles or sending invitations
This n8n automation workflow generates a city-specific Luma Events planning register in Google Sheets using an Apify dataset. It pulls public Luma dates, timezones, and venue information, then performs a complete dataset check before delivering rows to your sheet—so you can review what’s happening before you make plans.
What this workflow does
- Runs a bounded Apify run to supply source records, coverage, and billing evidence.
- Checks the complete dataset before any delivery to Google Sheets.
- Updates existing rows using stable source keys on repeat runs. Earlier unobserved rows remain—meaning your sheet acts as a current review register, not a full historical archive.
- Honors source window rules: COMPLETE describes the declared source window; CAPPED remains a labeled sample.
- Stops on source failures to prevent partial/inaccurate updates.
- Creates no data rows for verified empty results.
- Keeps timestamps consistent: stores UTC timestamps and the source timezone together.
- Highlights what needs attention (applications, sold-out events, and events that have already started). Empty price or availability fields remain unknown—review the event page before acting.
Important: this workflow does not register guests and does not book tickets. It only prepares a planning register.
Use cases
- Community organizers maintaining a “what’s next” register for a specific city’s Luma events.
- SaaS operators who need repeatable Google Sheets updates with review flags and stable row keys.
- Automation engineers validating data integrity before syncing event details from Apify.
Technical details
- n8n nodes: if, set, code, wait, sticky note, HTTP Request
- Apify integration: uses your Apify account plus Header Auth credentials on all five HTTP nodes.
- Google Sheets: OAuth2 upsert review register into the provided tab with the exact CSV header from the workflow’s sheet-header.csv.
