Reactivate Dormant Leads Every Morning—Automatically via Gmail + Google Sheets
This n8n workflow reads your Leads from Google Sheets every day at 9:00, sends the next message in a three-step Gmail reactivation sequence, then updates each lead’s touch count, last contact date, and status back in the same sheet.
What this workflow does
- Runs on a daily schedule (9:00) to start the reactivation process.
- Loads Config values such as sender_name, business_name, booking_link, and days_between_touches.
-
Reads all rows from the Leads sheet in Google Sheets and filters to keep only leads with:
- An email address
- Not marked as replied or unsubscribed
- Fewer than three touches
- A time gap since last_touch_at that is greater than the configured days_between_touches
- Selects which of the three email templates to send (first, second, or third) based on the current touch count.
- Sends the email using Gmail to the matched lead.
- Updates the lead row in Google Sheets by incrementing touch, setting last_touch_at to the current time, and setting status to in sequence or closed after the third email.
Use cases
- Keep a pipeline warm by automatically reactivating leads who haven’t responded.
- Run a controlled follow-up cadence (limited to three touches) using days_between_touches.
- Centralize lead tracking in Google Sheets while sending via Gmail from your chosen account.
Technical details
- n8n nodes: set, gmail, filter, switch, sticky note, google sheets
- Integrations: Google Sheets (read leads + update touch/status fields) and Gmail (send selected email template)
- Required sheet columns: email (used to match rows), name, interest, status, touch, last_touch_at
Ideal for n8n users, automation engineers, and SaaS operators who want an SEO-friendly, reliable Gmail + Google Sheets sequence for reactivation and lead lifecycle tracking.
