Recover Failed Stripe Payments Automatically — Using Gmail + CRM Updates in n8n
If a Stripe invoice payment fails, this n8n workflow detects the failure, classifies the decline reason, notifies the right people via Gmail, and updates your CRM through an inbound webhook—then follows a recovery schedule with automated rechecks and retries.
What this workflow does
-
Triggers on Stripe failures: Listens for Stripe’s
invoice.payment_failedevent and proceeds only on the first failure attempt to avoid duplicate customer outreach. - Classifies the decline: Fetches the latest Stripe charge and categorizes the issue into retryable, needs card update, manual review, or unknown based on the charge outcome/failure code.
- Sets a recovery plan: Applies a schedule with max attempts and recheck delays, then routes actions based on the decline category.
- Retryable declines: Sends the customer an email via Gmail that Stripe will retry, then rechecks the Stripe invoice status on day 1, day 3, and day 7. If paid, it posts a “recovered” status to your CRM webhook; if not, it posts “at risk” and alerts your team.
- Needs card update: Emails the customer with a hosted Stripe invoice link to pay using a new card, then posts “needs payment update” to your CRM.
- Risky/unclassified declines: Sends your billing team an email for manual follow-up and posts “needs manual review” or “unclassified” to the CRM.
Use cases
- Reduce churn by automatically recovering failed Stripe invoice payments.
- Ensure billing teams only step in when needed (manual review for risky/unclassified cases).
- Keep your CRM accurate with statuses like recovered, at risk, and needs payment update.
Technical details
- Built for n8n automation using nodes including if, set, code, no op, wait, and gmail.
- Requires Stripe API credentials for the Stripe trigger and Stripe API requests.
- Uses an inbound CRM webhook to post recovery statuses and outcomes.
