Send Day-Before Google Calendar Reminders via Gmail—Automatically

This n8n workflow checks your Google Calendar every morning and sends a plain-text Gmail reminder to each invited guest for the next day’s appointment—skipping all-day events and ignoring your own attendee entry.

What this workflow does

  • Runs daily at 9:00 AM (schedule-driven).
  • Loads reminder settings such as business name, calendar ID, phone number, reply-to address, and daysAhead (how many days ahead to look).
  • Pulls Google Calendar events within the target day’s start/end time window.
  • Expands attendees so each invited guest becomes an individual recipient.
  • Filters recipients:
    • Skips attendees without an email
    • Skips your own (self) attendee entry
    • Skips events without a start dateTime (i.e., all-day events)
  • Sends each guest a plain-text appointment reminder via Gmail, including the appointment date/time, optional location, and rescheduling instructions.

Use cases

  • Reduce no-shows by sending day-before reminders for booked appointments.
  • SaaS operators coordinating consultations, demos, or onboarding calls with invited guests.
  • Automation engineers standardizing consistent reminder messaging across calendars.

Technical details

  • n8n nodes / tech stack: set, google calendar, filter, split out, gmail, plus a sticky note for workflow documentation.

  • Requires Gmail credentials to send reminder emails.
  • Configuration includes updating business name, phone number, reply-to address, and daysAhead, plus validating the cron schedule/timezone.
