Sync Google Calendar events into Asana tasks automatically (hourly) with an n8n Data Table
This n8n workflow keeps your Asana project aligned with your Google Calendar: it creates, updates, or deletes Asana tasks based on calendar event changes—using an n8n Data Table as a sync log to prevent duplicates.
What this workflow does
- Runs hourly using a schedule trigger.
- Pulls Google Calendar events from the last 3 days through the next configured time window, and filters to standard (default) event types.
- Matches events to existing tasks by reading prior sync records from an n8n Data Table (using the stored CalendarEventID → AsanaTaskID mapping).
- Creates or updates tasks when events are new or changed (tracked via each event’s last updated timestamp).
- Deletes tasks when events are cancelled or declined.
- Assigns and follows tasks by looking up the event organiser in your Asana workspace as the assignee, then adds accepted/tentative attendees from your company email domain as followers.
- Pins an HTML event summary as a comment on the task.
- Writes back sync state to the n8n Data Table with the AsanaTaskID and event update time.
