Turn tenant repair requests into fast, organized action—automatically

This Tenant Repair Triage Workflow with OpenAI, Slack, and Gmail captures repair requests from an n8n Form, uses OpenAI (GPT-4o-mini) to classify urgency and generate a one-sentence summary, routes the ticket to the right Slack channel, logs it to Google Sheets, and emails the tenant confirmation via Gmail.

What this workflow does

  • Receives a tenant repair request submission from an n8n Form (unit and issue details included).
  • Triages with OpenAI: sends the unit + issue to OpenAI (GPT-4o-mini) along with your urgency rules to return an urgency level and a short maintenance summary.
  • Routes by urgency: uses a Switch step to send emergency requests to the on-call Slack channel, and urgent/routine requests to your maintenance Slack channel.
  • Logs to Google Sheets: appends Date, Name, Unit, Phone, Email, Issue, Urgency, and Summary to a Requests tab.
  • Confirms by email: sends a tenant-facing confirmation message through Gmail, with wording that changes depending on whether the request is an emergency.

Use cases

  • Property managers who want consistent repair triage and instant internal notifications.
  • Automation engineers building tenant support workflows in n8n with AI-assisted classification.
  • SaaS operators managing multi-tenant issues who need Slack + email + spreadsheet logging in one flow.
