Twilio Missed Call Text Back w/ Booking Link (n8n, Gmail, Sheets)

Turn missed calls into booked appointments—automatically

This n8n workflow sends an instant Twilio text to callers when you receive a missed call, including your booking link. Every call is logged to Google Sheets and emailed to you, with automated nudges, reply handling, and a daily 08:00 digest.

What this workflow does

• Missed-call intake (Twilio Webhook): A Twilio webhook starts the missed-call lane. Answered and outbound calls are dropped.
• Smart exclusions: Callers with a withheld number, numbers on your ignore list, callers who texted STOP, or callers who texted recently are logged and never texted.
• Instant booking SMS: Everyone else receives the first text containing your booking link. After-hours messaging uses different wording about when you open, and the link includes a short reference so a booking closes that exact call.
• Text reply handling (2nd Webhook): Replies mark the call as Replied and email you. If a reply includes one of your urgent words, it’s flagged URGENT. STOP marks the caller as Opted out.
• Booking confirmation (3rd Webhook): When your booking tool posts a phone number, the workflow marks the call as Booked.
• Optional delivery receipts: An optional step records Twilio delivery receipts so texts that never arrived are marked and emailed.
• Automated follow-up (hourly): After 4 hours of no booking, within your sending window, a single nudge is sent. The workflow also produces an hourly email list of callers you still haven’t rung back.
• Daily digest (08:00): Email includes who was missed, who booked, who is still open, and the week’s booking rate. (Preview mode routes all texts to your own inbox with a caller banner.)
